Active vs Inactive Segmentation

The PROBLEM

Recruitment databases often contain thousands of outdated or inactive records, making it hard for consultants to know where to focus. Without clear segmentation, data cleansing and enrichment efforts were expensive, time-consuming, and slow to deliver value.

Job Sync & Website Publishing

The PROBLEM

Recruitment firms were forced to choose between Bullhorn’s OSCP (limited to WordPress) or specialist recruitment CMS platforms like Volcanic or Bold, which lacked the flexibility of leading consumer-grade CMS solutions. Customers wanted the freedom to use best-in-class website platforms while still having jobs automatically sync from Bullhorn.

The SOLUTION

We built a job sync service that publishes vacancies directly from Bullhorn into any modern CMS, typically Wix, combining the recruitment-specific functionality of a job board with the design flexibility of consumer-grade web platforms.

The IMPACT

Recruitment firms gained the freedom to choose the CMS that best fits their brand while ensuring vacancies remain up to date and seamlessly connected to Bullhorn.

Copy Placement App for Extensions & Changes

The PROBLEM

When working with timesheet and finance systems, Bullhorn’s standard change request process didn’t work. Recruiters had to manually create copy placements for extensions or rate changes to push updates through to third parties — a slow, error-prone process that risked compliance issues and impacted pay and bill accuracy.

The SOLUTION

We built an embedded Bullhorn app that automates the creation of copy placements for any extension or change, ensuring updates flow correctly into connected systems.

Activity-Based Status Management

The PROBLEM

Bullhorn data quickly became outdated, with company, contact, and candidate statuses not reflecting actual activity. This made it hard to segment the database, manage risk, and build effective growth strategies — leaving firms exposed to over-reliance on a few existing customers.

The PROBLEM

The SOLUTION

We built data enrichment solutions that connect to multiple providers — sometimes in a waterfall flow — to fill in missing information, update contact details, verify current roles and career history, and refresh company data. This can run in the background automatically or be triggered by consultants through an embedded app.

Databases stay accurate and enriched, duplicate records reduced, and consultants spend less time chasing information — unlocking faster sourcing and higher-quality engagement.

Digital Workers for Cross-System Automation

The PROBLEM

Many critical recruitment processes still required consultants or back-office staff to manually move data between disconnected systems — such as corporate talent platforms (Fieldglass, Beeline), CRMs, and pay & bill solutions. This manual effort was slow, error-prone, and expensive, often tying up full-time resources.

The SOLUTION

We deployed Digital Workers (RPA bots) that mimic human actions to log into systems, transfer data, and complete repetitive tasks automatically. These bots were combined with API integrations where available, creating a seamless end-to-end process across platforms.

The IMPACT

Manual effort equivalent to FTEs eliminated, data transfer errors reduced, and processes ran continuously in the background — saving costs, accelerating delivery, and freeing teams to focus on higher-value work.

Financial Systems Integration

We automated off-limits management by updating candidate and contact records in Bullhorn based on contractual obligations. Records were clearly marked as off-limits during the restriction period and automatically returned to normal once the term expired.

Multi-Directional Taxonomy & Coding Inheritance

We delivered automated inheritance rules in Bullhorn and Invenias that standardised coding and taxonomy across all records — ensuring consistent data with no manual effort.

Enabled reverse searching and matching, accurate reporting, improved pipeline visibility, and recruiters gained a single, reliable source of truth for classification and analytics.

Assignment Close Audit

The PROBLEM

Closing assignments in Invenias was often inconsistent and incomplete. Consultants had to perform multiple manual steps to update records and confirm compliance, which was time-consuming, error-prone, and left gaps in reporting and audit trails.

We automated the assignment closure process in Invenias, ensuring that every record, status, and compliance step was completed consistently and securely within the platform.
