Legal Update – 28 May 2025

Effective 23 May 2025, Exenai has released a revised set of legal documents governing the use of our platform and services. These updates improve transparency, align with evolving regulatory standards (including UK GDPR), and better reflect the way customers and their users interact with our technology.

This notice summarises the changes and provides links to the updated documents.

Summary of Key Legal Changes
  • Our General Terms & Conditions have been replaced with a structured Master Services Agreement (MSA) that is easier to navigate and clearly references supporting policies.

  • The previous Privacy Policy has been revised into a dedicated Privacy & Data Policy and a standalone Cookie Policy. These now include details on data processing, AI usage, and lawful bases under UK GDPR.

  • We’ve introduced a formal Acceptable Use Policy (AUP) that applies to all users, including customers, candidates, and clients.

  • Community Users (such as candidates and client representatives) are now formally defined in our MSA and AUP, ensuring they’re covered by our terms when accessing the platform.

  • AI usage is now explicitly covered in our Privacy & Data Policy, outlining limitations and user responsibilities when using AI-powered features.

  • A User Notice is now shown to all users who access Exenai-hosted systems via login or secure link. This supports transparency and confirms acceptance of our key policies.

Legal Basis for Change

These changes are made under clause 14.4 of our previous terms, which allows Exenai to update its legal framework with notice. Your continued use of the platform after 28 May 2025 constitutes acceptance of the revised terms.
